We welcome requests for display stands at West Suffolk Hospital (WSH) and Newmarket Community Hospital (NCH), where they support patient information, staff engagement, or approved partner activity. To help ensure displays are safe, appropriate, and well managed, all bookings are screened and coordinated by the Communications team. Please review the guidelines below before making a request.
Guidelines for stands in WSH and NCH foyers
- All materials including stand/display boards, etc. to be provided by the visitor(s) (Trust assistance with sourcing tables, etc. will be at our discretion)
- It should be ensured that access is not blocked (main entry doors/doors to OPD etc.) when setting up displays
- No sales should take place and there should be no fundraising (inc sign-ups to lotteries or similar) unless by the Trust’s My WiSH charity or by prior agreement with My WiSH

- Communications will advise the voluntary services team of any bookings made (at WSH)
- Visitors should check in with the main reception on arrival – any issues to be relayed to the communications team (or the facilities team at NCH).
- The area should be left as it was found.
Guidelines for stands in Time Out at WSH
- A table will be provided for your use. All other items must be sourced and provided by yourselves and removed and the end of the day or display period.
- In Time Out, your display must be set up by the television screen, near the cutlery containers. It should not be placed near the exit doors or anywhere else in the restaurant.
- Items left on an unattended display will be at your own risk and the catering team cannot accept responsibility for any losses or breakages.
- A screen managed by the communications team is located behind the display table. If you would like to use this for displaying information during the time of your display, you will need to bring your slides/presentation on a laptop and connect this via the HDMI cable provided. Please let the communications team know you intend to use the screen, as availability cannot always be guaranteed. Please note that the TV remote is attached to the back of the TV.

- Communications will advise the catering office and IT (and IT in the case of screen use) of any bookings made
- Please speak to a member of the catering office team when your stand is in-situ for immediate support
- No sales should take place and there should be no fundraising (including sign-ups to lotteries or similar) unless by the Trust’s My WiSH charity or by prior agreement with My WiSH
- No external company may use this area as a means of business promotion. Any external organisations must be of a healthcare nature or affiliated to the NHS/WSFT.
- Please do not move the table and/or TV to any other location within the restaurant without prior permission of the communications and catering teams.
