Document Image Process (D.I.P)

Role: All Health Records are stored within Health Records library facilities or other secure areas. If a patient has not had any contact with the Trust, or its clinicians for three years, scanning of the main health record (using the D.I.P system) is authorised – with the exception of maternity and psychiatric notes.

Once the scanning has been completed, the medical files are destroyed. If a patient returns to the hospital after three years, the D.I.P team is responsible for resurrecting the patient record. At this time, information on the database can be viewed and printed, but not be sent electronically. During an average month, 1660 records are scanned and 500 records resurrected and reintroduced into the library system.
